1. Information We Collect

1.1 Business Information

When you register, we collect:

  • Business name, owner name, and contact details (phone number, email)
  • Business location and operating hours
  • Product catalogue information (names, descriptions, prices, images)
  • Business logo and branding preferences

1.2 Customer Information

When customers interact with your bot or storefront, we collect:

  • WhatsApp phone number and display name
  • Order details and conversation history
  • Delivery addresses (when provided)
  • Payment transaction references

1.3 Usage Data

  • Dashboard login activity and feature usage
  • Storefront page views and analytics
  • Bot interaction metrics and response data
  • Device and browser information for the web dashboard

2. How We Use Your Information

We use your data to:

  • Operate the platform - powering your chatbot, storefront, and dashboard
  • Process orders and facilitate mobile money payment collection
  • Send order notifications to you and your customers
  • Provide customer recognition so your bot can personalise interactions
  • Generate analytics and revenue reports for your dashboard
  • Improve the platform, fix bugs, and develop new features
  • Communicate important service updates and billing information

3. What We Do Not Do

  • We do not sell your data or your customers' data to third parties.
  • We do not share your customer lists with other ShopTap businesses.
  • We do not use your data for advertising or marketing to your customers.
  • We do not store mobile money PINs or sensitive payment credentials.

4. Data Storage & Security

  • Data is stored securely on cloud infrastructure with encryption at rest and in transit.
  • Database backups are retained for 30 days.
  • Access to production data is restricted to authorised personnel only.
  • We apply industry-standard security measures including secure authentication, role-based access controls, and regular security reviews.

5. Third-Party Services

ShopTap integrates with the following third-party services to provide the platform:

  • WhatsApp Business API - for chatbot messaging and customer communication
  • Mobile money providers - for payment collection and disbursement
  • Cloud hosting providers - for data storage and application hosting
  • Inventory integrations (e.g. Zoho, Shopify, WooCommerce) - when connected by you

These services have their own privacy policies. We only share the minimum data necessary for each integration to function.

6. Data Retention

  • Your business data is retained for as long as your account is active.
  • Order and conversation data is retained for 12 months after the order date.
  • After account termination, your data will be retained for 30 days to allow recovery, then permanently deleted.
  • You may request earlier deletion at any time.

7. Your Rights

You have the right to:

  • Access - request a copy of the data we hold about you and your business
  • Correction - ask us to correct inaccurate or incomplete data
  • Deletion - request permanent deletion of your data
  • Export - download your data in CSV or PDF format from the dashboard (Essentials plan and above)
  • Restriction - ask us to limit how we process your data

8. Cookies & Tracking

The ShopTap web dashboard and storefront use essential cookies to maintain your session and preferences. We do not use third-party advertising cookies or cross-site tracking.

9. Children's Privacy

ShopTap is designed for business use and is not intended for individuals under 18. We do not knowingly collect data from minors.

10. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated via email or dashboard notification at least 14 days before they take effect. The “Last updated” date at the top reflects the most recent revision.

11. Governing Law

This policy is governed by the laws of the Republic of Ghana, including the Data Protection Act, 2012 (Act 843).
